The notebook was the system.

A seaside restaurant with decades of tradition ran its busiest nights from a single paper notebook. The story of how it built a reservation system of its own.

Case studyHospitalityReservations

The whole restaurant ran on one notebook.

Decades of tradition on the coast, and the entire reservation system fit on a single open page. In peak season the phone never stopped. A name, a time, scribbled between clearing tables. And every so often, in the rush, a booking simply never made it onto the page.

Every morning began with the same unanswered question.

How many guests tonight? What will they order? How do you set a kitchen so a full house never tips into panic? At the start of every service the manager and the head chef faced it together, and the honest answer was that nobody could be sure. There was another gap, too. Online, the restaurant had no home of its own, and everything a guest could find there belonged to someone else.

The answer did not come ready-made.

Good software here would not begin in code. It would begin in the kitchen. So the first conversations were about how a service truly unfolds, hour by hour, and about how the best restaurants elsewhere had solved the same thing. One principle held from the start and never bent: whatever came next had to belong to the restaurant, not to a booking platform it would only ever rent.

The build

One system, end to end.

Everything the restaurant needs to run a night, built to belong to them and no one else.

Its own website

The restaurant's first presentation site, owned entirely by the restaurant instead of rented from a booking platform.

Lunch and dinner reservations

A booking system built around real service, so every table is accounted for before the doors even open.

A control room for the team

Advanced administration that gives the floor and the kitchen one clear view of the night ahead.

WhatsApp confirmations

Guests book, get an instant confirmation, and receive an automatic reminder three hours before they arrive.

Guest verification

Every booking is verified over WhatsApp, so the team knows a real person is behind it, which matters most with visitors from abroad.

Where bookings come from

Analytics that show whether a reservation started on the website, a QR code, or a walk-in at the door.

No switch happened overnight.

Leaving the notebook behind was never going to happen in a day, and it didn't. The change came step by step, keeping what already worked while the new system quietly absorbed the parts that used to slip through the cracks.

For the first time, the restaurant owns its own front door.

A name with decades of history now has a digital presence of its own, and the credibility that comes with it. The nightly guessing game has an answer. And every guest, local or traveller, arrives through a door the restaurant owns. That is the kind of work worth leaving behind.
